QuickBooks accounting software is a powerful tool that will keep track of your finances, and much more. It functions as a data base and when it's set up correctly you can keep track of and run informative reports on just about anything to do with clients, vendors, employees, job costing, inventory tracking, and financial activity.

QuickBooks has features that can make routine bookkeeping tasks faster, easier, more consistent, and even allow "non-bookkeeper" staff to enter financial activity accurately.

And, QuickBooks forms-templates (estimates, invoices, statements) can be modified, or new ones created, to look however you choose. They can also include any information you need on them, either filled in automatically for the specific customer, or with an empty field that you fill in when you create the form. They can even be used for forms/letters/documents to print using the customer database in QuickBooks.

There is alot to know about QuickBooks to get the most out of it....but you don't have to become a QuickBooks expert to get the benefits. We have been working with QuickBooks since 1997, and have set up and used it for many different types of businesses. We can set up your QuickBooks to meet the specific needs of your business, and then show you how to use it. Or, if you're already using QuickBooks but not getting the most out of it, we can take care of that too.

Think about the options below in relation to your needs, and remember these are no-where near all the possibilities. A meeting to discuss you what you do, what you need to keep track of to operate smoothly, and what insights you want your books to provide will let us guide you to the right Quickbooks software and focus on the features that benefit you.

For reporting:
  • Keep track of expenses in detail without cluttering up your financial statements. (For example, on your income statement you may want to see only the total of auto fuel expense, but still want to run reports totaling it by vehicle or driver, or you may want income from services to be one line on the income statement, but still want to run reports totaling income by specific services).
  • Run separate income/expense reports for different locations, or departments.
  • Keep track of the source of your clients (referrals, ads, phone book listings).
  • Keep track of income/expense by sales person
For tasks:
  • Have recurring bills &/or payments enter automatically with the correct date, about a week before they occur so you are reminded ahead of time.
  • Have recurring customer invoices enter automatically.
  • Download bank activity and have Quickbooks assign vendors and accounts per rules you sepcify, reducing data entry to a review and accept procedure.
  • Set up templates for easier entry of recurring activity that isn't the same amount each month (such as electric bills) so all you do is open it & enter the amount & dates (since the vendor name, memo with account #, the general ledger account, etc. are already set up in the template).
  • Enter the sale of a product and have all the individual components taken out of inventory (for example, the sale of 1 "basic needs tool box" can remove from inventory 1 tool box, 1 hammer, 1 set of screwdrivers, 1 wrench, 1 tape measure, etc.).
  • Have your "non-bookkeeper" staff enter a payment for auto insurance without having to know wether it belongs under auto expense, or insurance expense.

For forms:

You can use the standard QuickBooks forms (invoice shown here),

or you can design your forms (estimate, invoices, statements, etc) to look however you want, and include whatever information you choose, like this example for a floral shop (click for a larger view):(back to top)
